Exporting Gold From Kenya: A Document and Responsibility Checklist
A practical guide to preparing a Kenya gold export file, including exporter authority, assay references and shipment documentation.
5 min read · Knowledge Centre resource
A successful export file connects the exporter, identified gold, commercial transaction, required permissions and planned shipment. The process should begin before the collection date, because a missing approval is difficult to resolve once a high-value parcel is already moving.
Identify the exporter of record
Start with the precise legal name of the exporting entity and its role in the transaction. Record the material owner and any authorised agent. Kenya's State Department for Mining handles applications for mineral dealing rights and mineral export permits. The department's FAQs explain that a domestic mineral dealing permit is not itself permission to export.
Confirm the applicable category, authorisation and current validity directly with the responsible institution. Do not publish or rely on unverified licence numbers.
Create a traceable lot file
Describe the material form, where it is held, its measured weight, sample references and proposed packaging. Retain suitable assay records and reconcile the reported sample to the actual consignment. A previous assay may inform an enquiry but should not be presumed representative of a new or altered lot.
Reconcile commercial documents
The contract should identify seller, buyer, material, delivery term, price basis, inspection and payment conditions. Check that the invoice and packing or weight record use consistent names, quantities, references and units. Verify the consignment's actual export-permit and customs documentation requirements through official channels and the appointed qualified service provider.
Plan the shipment and destination review
Record the intended carrier, consignor, consignee, route, transport document, custody instructions and insurance responsibilities. The importer needs to verify destination-side rules before dispatch. An export permission from Kenya does not automatically authorise import into another country.
Where disputes often begin
Problems arise when the laboratory result cannot be tied to the final parcel, when the invoice lists a different legal seller, when the shipment changes after a permit has been prepared, or when payment release conditions have never been agreed. A controlled final file review can identify these inconsistencies before handover.
Bilex's supporting role
Bilex Minerals EA is a licensed mineral dealer in Kenya and Tanzania. It can assist with gold testing, export-document preparation and transaction coordination under an agreed scope. The exporter of record must be identified in the commercial documents, and permissions required for each consignment must be obtained from the relevant authorities. Bilex does not issue government permits or guarantee their approval.
